In brief.
The AI Act is the European regulation governing artificial intelligence systems. For a company that answers its tenders and audits with AI, its spirit comes down to four requirements: transparency about how the system works, logging of processing, effective human oversight, and documented control of data. In practice: being able to explain how an answer was produced, from which sources, and who approved it.
What changes: the burden of proof
In front of a major client, an auditor or a regulator, “the AI generated this answer” is no longer enough. You need traceability of the processing (which system, which version, which sources), demonstration of genuine human oversight (who reviewed, who approved, against which criteria), and the ability to reconstruct after the fact. These requirements overlap with what contractual common sense already imposed: they do not create the need for evidence, they make it unavoidable.
Provider, deployer: who carries what
The regulation distinguishes the provider of the AI system (which designs it and places it on the market) from the professional deployer (which operates it). Buying a solution places the obligations of design, technical documentation and risk management on the provider, and leaves you those of use. Building in-house means carrying both roles, often without having budgeted for it. A question to work through before any rollout: “if a client or an authority asks me tomorrow how this answer was produced, what do I show them?”. If the answer is a screenshot of a chat, the file is not ready.
