Let us chase your third parties. Assess them without the effort.

The problem

Chasing third parties one by one costs more than the questionnaire itself

Collecting information from suppliers means sending a questionnaire to each contact, waiting, then chasing the silent ones by hand. Reach takes over that whole cycle, from importing third parties to closing the file.

Today, without Reach

An inbox and a spreadsheet

One questionnaire, eighty suppliers to fill it in. You send the messages one by one, record replies by hand, and three weeks later chase from memory.

  • Manual sends, one contact at a time
  • Tracking in a spreadsheet, quickly out of date
  • Chases forgotten, or sent twice
  • No trail an auditor can use
With Reach

One campaign, one status per third party

You import the list, upload the questionnaire, set the chasing rhythm. Reach sends from your own address, chases those who have not replied, and keeps every status current.

  • Excel import, or screen-by-screen entry
  • A current status for every contact
  • Automatic chasing up to the deadline
  • Timestamped history, answers retained
How it works

From supplier list to closed file, in five steps

A campaign brings together a questionnaire, a list of third parties, a sending account, a chasing schedule and the email content. You create it in a five-step wizard, then track it from a single record.

Your third parties

Import your suppliers and their contacts

Download the Excel template, fill it in, drop it into Reach. Company name and email are enough; phone, language and tax number stay optional. Screen-by-screen entry remains available for a handful of third parties.

A third party carries one language. For two languages in the same company, create two third parties.

The campaign

Select recipients and upload the questionnaire

Choose the third parties concerned, up to 500 contacts per campaign. Name the campaign, pick the sending account, then attach the questionnaire as PDF, Word or Excel.

The chasing

Set the rhythm once, then forget it

Set the number of chases, the interval in days between each, and a deadline. Reach then chases only the contacts who have not replied, and stops on the date you chose.

The emails

Write your emails in each third party's language

Subject, opening and signature are written per language, in French, English, German or Spanish. Variables such as the contact's name or the deadline personalise each message, and the text of every chase can be adjusted.

The tracking

Track each third party, then close the file

The campaign record brings together the settings, the sending statistics and the list of recipients with their status: Sent, Received, Chased, Approved or No reply. You can chase by hand, export the results, mark a third party as complete, or archive the campaign.

The mail log gathers every email sent from Reach, across all campaigns.

Use cases

Wherever a requirement forces you to question your third parties

Reach is indifferent to the content of the questionnaire: it carries yours. Campaigns serve a processor review as readily as an assessment of critical providers.

RGPD

Processors

A compliance questionnaire sent to processors, with answers retained and timestamped.

ISO 27001

Suppliers

Collecting security evidence from the suppliers inside your certified scope.

DORA

ICT providers

Assessment of IT providers, and follow-up on incomplete files.

CSRD

Value chain

Approaching partners for the non-financial data your reporting requires.

Security and sovereignty

Your emails leave from your own mailbox, not from an unfamiliar platform

Reach authenticates through OAuth with Microsoft or Google: no password is stored, and access can be revoked at any time from your own account. The solution is European and sovereign.

Access

No password to create

Sign in with your Microsoft or Google account, or through a link sent to your email address. Access is revoked from your own account.

Sending

Your own sending address

Campaigns leave from the mail account you connect. The recipient receives a message from you, as though it had been written by hand.

Traceability

History per third party

Decisions, answers received, timestamps and the questionnaire version stay attached to each third party, from the first send to the closed file.

The Optivalue.ai ecosystem

Reach collects, Optivalue Platform proves

Reach is the collection component of Optivalue Platform, the sovereign artificial intelligence for compliance and due diligence. It fetches the information from third parties; the platform analyses and scores it.

For the third party
The third party approached is automatically offered Optivalue.ai to complete the questionnaire, free for their first one.
For you
On your side, we help you shape the questionnaire so the platform answers it easily when the third party uses it.

Frequently asked questions

What we are asked before starting

01

How do I automatically chase a supplier who does not answer a questionnaire?

At the third step of campaign creation, you set the number of chases, the interval in days between each, and an optional deadline. Reach then sends those chases only to contacts who have not replied, and stops at the deadline. A manual chase remains possible at any time from the campaign record.

02

Do the emails leave from my own address?

Yes. You connect a Microsoft or Google account at organisation level, and campaigns leave from that address. The recipient sees a message from you. Your mail client's usual signature is not carried over: it is set in the Personalisation section.

03

Do I need to create a password to use Reach?

No. You sign in with your Microsoft or Google account, or through a link sent to your email address. Reach stores no password, and you can revoke access from your account at any time.

04

How many third parties can one campaign cover?

A campaign takes up to 500 contacts. Beyond that, simply create several campaigns, each with its own list, chasing schedule and email content.

05

Which questionnaire formats are accepted?

PDF, Word and Excel, up to 10 MB per file. The questionnaire stays yours: Reach carries it, chases it and tracks replies without altering its content.

06

Is Reach a marketing email tool?

No. Sends are addressed to named people, leave from your own mailbox and belong to a compliance or due diligence process: a questionnaire to be completed, measured chasing, a file to close. There is no marketing list and no behavioural tracking.

07

In which languages do third parties receive the emails?

French, English, German or Spanish. The language is carried by the third party: it determines which version of the email they receive. A company whose contacts speak two languages is created as two separate third parties.

Your first campaign takes an afternoon. The next ones, ten minutes.

Connect your mailbox, import your third parties, upload your questionnaire. Reach handles the chasing.
